Mill Tip: Generating a List of Items on Reserve

To obtain a list of all the items associated with course reserves, take the following steps:

  • Collect all your course records into a review file by searching for the location code associated with your institution. The criteria used to generate this list is: COURSE LOCATION between “xx” and “xxzzz”.
  • You can work on this list by opening the Course record and then clicking on “Summary”. This will take you to the item in the list.

You may also choose to go into telnet and generate a list of all items associated with the course records from that review file.

To do so:

  • Launch telnet and key C > C > Z.
  • Key “y” to use a review file and select your review file from the list.

Mill Tip: How to Request an Inventory Device

To find out if a specific inventory device is available for your library you can do a title search in Millennium for “Inventory Device”.

Once you have identified which type of inventory device you would like and that the device is available to be shipped, you can then go to the following webpage on the OPAL website and fill out the “Request an Inventory Device” form:

Please indicate in the “Notes” field on the form which device you are requesting.

This form also includes helpful links for additional inventory details and the documentation related to the inventory procedures & software.

Mill Tip: Tally Renewal Statistics with Circ Activity Reports

Have you ever been asked to gather statistics regarding the number of renewals for your patrons? This process will help you to first gather the number of renewals of your items by your institution’s patrons. You will then be able to derive the number of renewals of OhioLINK items by your patrons.

To get started, you will want to generate a Cross-tab report (http://cat.opal-libraries.org/iii/webrpt/secure/CrossTab.html) with the following parameters:

Dates: user specified
Statistic type: Renewal
Limited by: All locations
Rows: LOCATION
Columns: PTYPE

You will then delete all the PTYPE columns except for your own so you can focus in on those transactions.

To tally your patrons and institutions renewals, sum up the item locations and ptypes associated with your institution only.

To tally the number of renewals of OhioLINK items, take the totals of renewals of all item locations and subtract the number of local renewals (the number in the previous step).

Mill Tip: Canceling a Hold

When one of your very popular items ends up with two or more requests at a time, there are a couple of scenarios you want to consider when resolving the issue.

For requests from OhioLINK patrons, simply cancel the request. The request will move to the next available item in OhioLINK land.

For requests from OPAL patrons, using Millennium holds management options on the “View: holds” summary tab, transfer the hold to the next available item attached to that particular bib.
