Mil Tip: Preferred Templates

Are you tired of scrolling through a long list of Millennium record templates just to find your institutions templates? If you aren’t already taking advantage of this function then ask OPALhelp to set up “Preferred Templates” for your library.

This function allows you to “see” only a list of your own (preferred) record templates when you are creating a new record.

Mill Tip: Locating Records with Missing Data

Have you ever wanted to find out which records in your collection are missing a particular OPAC message, holdings information, or virtually any other field lacking data?

To pull these records, you will go to Create Lists and begin building your query by designating the type of record that contains that particular field. For example, say you want to find all serials check-in records that lack a “LIB HAS” statement. Your query would look something like this:

Store Record Type: CHECKIN c
Term 1: CHECKIN c LOCATION equal to “xxper” (where “xxper” is your institution’s serials location code)
Term 2: CHECKIN c LIB HAS equal to “” (literally, leave the “Value A” completely blank)

This same tactic can be used to locate most empty fields within any record type. Happy hunting….

“Edit Mode” to Delete a Bibliographic Record

When you have to delete a bibliographic record in Millennium please do the following:

1. Open the bibliographic record you want to delete. (Make sure that the record belongs only to your library)

2. Check that there are no attached records.

3. Choose the “Edit” toolbar icon (you must be in the “Edit” mode to delete bibliographic records.

4. Choose “File” > “Delete Bibliographic Record”.

Millennium prompts: “Delete bibliographic record (it will show the record number)?”

Choose Yes to delete the record, or choose No to cancel the deletion and return to the Edit Record window.

Mill Tip: View Record in “Public Display” from Millennium

You can view the public display of a record that you are working on directly from Millennium:

Go to the Toolbar and choose View > Public Display

If the bibliographic record has not been edited, the record is opened in a WebPAC window.
If the bibliographic record has been edited but not saved, a mock-up of the record is opened in a WebPAC window. So it is best to save your changes before going to the Public Display view.

Mill Tip: Create a One Record List

Have you ever needed to create a list that contains only one record? For example, when sending OPALHelp your list of records to delete or working on a multi-volume set?

To create a review file containing one bib record, you would go into Create Lists, click on Search Records, and choose BIBLIOGRAPHIC as the record type. Instead of entering criteria in the form, you may enter the record number in both the “Start” and “Stop” fields for the “Range”. Click on “Search”.

This exercise works for all record types - just remember to adjust the record type when you begin filling out the form.
