Mil Tip: Modify a Group Of Records

Have you ever had a group of records attached to a bib record that you want to update? Instead of opening each record to edit you can easily use the “Modify Group” option. This means that you can modify the same field in multiple records by editing those records as a group from the summary display. You can do this with item, order, and checkin records but you can edit only one record type at a time.

To use this function follow these steps:

1.Retrieve the bibliographic record that has the attached records that you want to edit.
2.Choose the Summary tab, then select the appropriate record type (item, order, or checkin) in the View pull-down list.
3.Select the records you want to edit by clicking their check boxes.
4.Choose Edit | Modify Group. The Modify Records dialog box appears.
5.Double click inside the “Field” box to select the field that you want to update.

Once you have selected the “Field” you want to modify you can then do one of the following to make the changes:
a. Edit the data for each record individually by typing directly into the desired cell
b. Choose Edit | Find. (The Find dialog box appears and you can find and replace data)

Choose Save in the Modify Records dialog box to save your changes.

Mill Tip: Canceling a Hold

When one of your very popular items ends up with two or more requests at a time, there are a couple of scenarios you want to consider when resolving the issue.

For requests from OhioLINK patrons, simply cancel the request. The request will move to the next available item in OhioLINK land.

For requests from OPAL patrons, using Millennium holds management options on the “View: holds” summary tab, transfer the hold to the next available item attached to that particular bib.

Mill Tip: Troubleshooting the Millennium Client When It Won’t Start

The Millennium Client software is not easy to troubleshoot.  When it cannot connect, it usually just closes right after starting, leaving you wondering what went wrong.

Before you call opalhelp, try a couple of simple troubleshooting procedures that will help us diagnose the issue.

1. Restart the client.  Make sure that the client is closed all the way, then, after ten seconds or so, start it again.  If that does not help, try restarting the entire computer and then try the client again.

2. Check connectivity.

Can you get to the Internet (with good performance) using the same computer’s web browser? 

Can you get to the OPAL OPAC in that station’s web browser?

Is this the only station on which the client won’t work, or do all of them fail to connect?

3. Check client version.  If the client will not run, look in the folder named “jre” that is in the “Millennium” folder on the C: drive.  There should be only one folder in there, and it should be named after the current recommended version of the client (1.60_02, as of this writing).  If the client will run, you can find the version of the client under the Help menu–just click About and see what it reports as the JRE Version.

Armed with this information, your call to opalhelp will get off to a quick and decisive start!

Mil Tip: Preferred Templates

Are you tired of scrolling through a long list of Millennium record templates just to find your institutions templates? If you aren’t already taking advantage of this function then ask OPALhelp to set up “Preferred Templates” for your library.

This function allows you to “see” only a list of your own (preferred) record templates when you are creating a new record.
